Setting Up Gridhost Email Accounts: Apple Mail, iPhone, Gmail, Outlook, Thunderbird
After trial, error, and further trial, I’m firmly committed to a company called TSO for client hosting. Their service is second to none, and while my praise could warrant a blog post in itself, I shan’t bore you. TSO use an email client called Gridhost, and this blog will show you how to install their mailbox into your email provider – be it Apple Mail, iPhone, Microsoft Outlook, Gmail or Thunderbird.

Getting Your Settings Right
The thing about emails – as with most aspects of hosting – is their need to be 100% correct. One number out of place and things simply won’t connect. Follow these steps to a tee, irrespective of whether you understand SMTP, hostnames or other such jargon. The important thing is this: you only need to get it right once. Once it’s set up, you’ll take your Gridhost emails for granted.
Set Up Your Gridhost Mailbox
First things first, make sure you’ve created a mailbox for your website in the control panel. This should be found via control.gridhost.co.uk. Enter your preferred email address, a secure password, and keep both handy for the next steps.
Clients: Ideally, you want to be as comfortable as possible using your new email account. Should the following instructions fail to work – or you feel you’re not up to it – please get in touch and we’ll arrange this over Skype.
Install With Apple Mail
- Go to Mail and open up the Preferences box.
- Click the + icon in the bottom left and click Other Mail Account at the bottom.
- Select Mail Account and click continue.
- Add your name, full email address and password. Be extra careful to use the full email (example@domain.co.uk) and case-sensitive password. Click Sign In.
- Extra fields will show up and you’ll be met with an error message – don’t fret.
- Under email address enter your full email address.
- Enter your full email address as your username.
- Under Account Type select IMAP.
- Under Incoming Mail Server write mail3.gridhost.co.uk
- Under Outgoing Mail Server write mail3.gridhost.co.uk
- Not long now! Back to the toolbar, click Mail, then Preferences, and highlight your newly created email address.
- Under Advanced go to IMAP Path Prefix and type INBOX.
Keep your fingers crossed and send some test emails. Reply to them, and reply again.
Install With iPhone
Below are instructions for setting Gridhost emails on your iPhone. Before you begin, make sure you copy your secure password so that it can be pasted whenever needed!
- Go to Settings > Mail.
- Go to Accounts > Add Account > Other
- Click Add Mail Account > Add your name, your new email address and paste your password. Click Sign In.
- For Incoming Mail Server
- Host Name: mail3.gridhost.co.uk
- Username: your new email address
- Password: paste your password
- For Outgoing Mail Server
- Host Name: mail3.gridhost.co.uk
- Username: your new email address
- Password: paste your password
Click Save and wait for it to verify.
Install With Gmail
Gmail involves two setups – the means to send emails, and the means to receive them.
- Go to Settings > Account & Import
- Go to Send Mail As and Add Another Email Address As Your Own
- Enter your name and new email address.
- Leave Treat As An Alias Checked
- Click Next Step.
- For SMTP Server enter mail3.gridhost.co.uk
- For Port select 465
- For username write your new email address
- For password write your mailbox password
- Select Secured Connection Using SSL
- Go to webmail.gridhost.co.uk and login with the above details.
- Copy the verification code sent by Google.
- Enter the verification code and click verify
- Return to Gmail, click Settings and click Check Mail From Other Accounts
- In this page:
- Your username is your new email address
- Your password is your mailbox password
- Your POP Server is mail.yourdomain.com
- Your Port is 110
- Select Leave a copy of retrieved messages on the server
- Select ‘label incoming message …’
- Click Add Account
What now? When you click Compose, you can select your new email address from the dropdown menu. You can then set the address to default by returning to Settings and navigating to Send Mail As.
Install With Microsoft Outlook
If you are using Microsoft Outlook, the setup is fairly straightforward:
- Go to Settings > Connected Accounts
- In Add a connected account click other email accounts
- Enter your username (email address) and password, then click save.
- Go back to Settings > Connected Accounts, select your new account and click the edit symbol to go into advanced settings
- Fill in your username and password where asked
- Under Server information add the following
- Incoming server: mail3.gridhost.co.uk
- Incoming port: 993
- Authentification: Basic
- Encryption: SSL
- Outgoing server: mail3.gridhost.co.uk
- Outgoing port: 465
Click save and go! Next, wait for MS to import all your settings from the mailbox. An extra folder with your new email address should appear in your inbox. Now you can send and receive Gridhost emails using Microsoft Outlook.
Install With Thunderbird
- Go to File, New and Existing Mail Account
- Type your display name, email address and password. Click continue and be taken to the screen.
- Thunderbird will look up the mail provider. Once it has finished, click manual config and enter the following information.
- For Incoming, select mail3.gridhost.co.uk as the sever name, 993 as the Port, SSL/TLS in the dropdown and Autodetect for Authentication.
- For Outgoing (SMTP), once again type mail3.gridhost.co.uk as the server name, 465 as the Port, SSL/TLS in the dropdown and Autodetect for Authentication.
- Usernames for both incoming and outgoing should be your email address.
